    General Purpose: 

    To sell, coordinate, and service all weddings with a guest count less than 75 guests, acting as wedding primary contact from start to finish of each event, to ensure complete customer satisfaction. Additionally responsible for sales and service of wedding related special events as well as weddings over Hotel identified need periods (weddings of any size that fall mid-week or on Sundays). Coordination of service needs to the Operations and Culinary/Banquets Team is critical for the success of the position. The ability to balance what the client wants with what is best for the property and work together in a team atmosphere driving revenues for the resort is also vitally important. Requirements of the position include: a thorough knowledge of the practices and procedures of the catering, food & beverage, and hospitality professions; effective communication skills, and the ability to negotiate, influence and sell WaterColor event space and services to weddings and wedding related events.




    • Understand and practice the SJCR Vision and Values at all times.
    • Attend various wedding trade shows and conduct in-market calls to promote WaterColor Weddings
    • Establish relationships with potential clients and book events in an effort to meet and exceed annual Catering Sales goals
    • Prepare and send requested proposals and contracts to designated potential clients.
    • Conduct site inspections and vendor meetings.
    • Entertain qualified potential and/or existing clients.
    • Prepare and execute contracts in an accurate and timely manner
    • Conduct site tours with prospective clients; represent WaterColor in a professional and courteous manner while exploring property outlets
    • Utilize property management system to run pace reports and various other reports
    • Establish and maintain consistent communication with clients via email and telephone; respond to all clients within 24 hours of contact
    • Coordinate and finalize function space setup, décor, food and beverage menus
    • Up sell food and beverage menus and additional functions to achieve budget
    • Coordinate and host vendor appointments and menu tastings with clients
    • Gather and share knowledge of current and cutting-edge wedding trends and recommend to  clients
    • Develop and maintain relationships with local vendors; communicate effectively and efficiently with vendors via email and phone; respond to all vendors and prospective vendors within 24 hours of contact
    • Create Banquet Event Orders for all weddings, social and special events; Provide Banquet Event Orders to clients 4 weeks prior to event for client approval; Distribute to all resort departments 2 weeks prior to the event
    • Consistently communicate with the Banquet Coordinator, Banquet Staff and Chefs regarding event requirements, timing and special requests
    • Attend weekly departmental and staff meetings to update department managers on all upcoming weddings and special events
    • Troubleshoot event and operational obstacles and resolve in a timely, professional manner while ensuring client satisfaction
    • Consistently work to exceed client’s expectations by proactively anticipating their needs
    • Inspect all function space prior to the start of the function to ensure that setup and décor is per the client’s and Banquet Event Order’s specifications
    • Attend the pre-function line up with the Banquet Coordinator and Staff and review function requirements and time line
    • Constantly monitor Banquet Staff performance in all phases of service and job functions; ensuring that all procedures are carried out to departmental standards
    • Observe guests’ behavior and reactions and confer frequently with Banquet Coordinator and Staff to ensure guest satisfaction
    • Audit banquet tickets and final bills to ensure accuracy of charges
    • Maintain a detailed knowledge of the Inn and Resort and all amenities that are offered
    • Work in other areas of the Inn and Resort when needed to assist in operations and perform job duties not necessarily contained in this job description
    • Attain pre-set monthly revenue goals for banquets, as determined by the Director of Sales
    • Maximize revenue by upselling packages and creative food and beverage.
    • In a timely, accurate and consistent manner, document and report all sales activities as required. Weekly and Monthly Reports, including Expense and Month End Reports.
    • Ensures group information files are maintained efficiently and accurately.
    • Perform other services and duties as requested by the General Manager and Director of Sales.  May be called on to host functions and participate in, or conduct sales blitzes, travel, and work extended hours to achieve departmental goals.
    • Attend all mandatory meetings as directed.
    • Other duties as assigned.


    Job Skills:

    1. Exhibit computer skills to include word processing, spreadsheet, and familiarity with brand specific property Management System(s).
    2. Exercise excellent communication, presentation, organization, time management and listening skills.
    3. Use analytical skills for measuring business potential and value to the resort.



    Knowledge/Education: Bachelor’s degree in Hotel or Business Management, or equivalent experience required. Must be knowledgeable of operations in all other areas of the resort, but particularly in the kitchen, front office, restaurants, accounting, clubs, and golf. Must be computer literate. Must be skilled in accepted business presentation formats.

    Experience: Minimum 1 -2 years experience in Convention Services, Banquet, Hotel Sales, Marketing, ; OR equivalent education and experience.

    General Requirements: Valid Driver’s License. Must be flexible to working days, early mornings, evenings, weekends, and holidays.
